Privacy Notice – Summary
This is a short summary of how ST Properties collects, uses and protects the personal data of tenants, applicants and guarantors. It covers the essentials; the full notice, linked at the end of this page, sets out our complete legal basis, retention periods and your rights in detail.
Who we are
ST Properties is the Data Controller for your personal data. Our data protection contact is Susie Copeland, ST Properties, 63 James Street, Stoke-on-Trent, ST4 5HR, or info@st-properties.co.uk.
What we collect
To assess applications and manage tenancies, we collect information such as your name, contact and identification details, right to rent documentation, employment and financial information, referencing and credit history, and guarantor details where applicable.
Why we use it
We process your data to enter into and perform your tenancy agreement, to meet legal obligations such as right to rent checks, and because we have a legitimate interest in assessing suitability, preventing fraud, and managing tenancies. We only rely on your consent for optional marketing communications, which you can withdraw at any time.
Who we share it with
We share information where necessary with referencing and credit-check agencies, local authorities, deposit scheme providers, maintenance contractors, landlords we act for, and legal or debt-recovery advisers. We never sell your personal information.
How long we keep it
Retention varies by purpose – typically up to 7 years after a tenancy ends, or up to 12 months for unsuccessful applicants. Full details are in the complete notice.
Your rights
You have the right to access, correct, or request erasure of your data, to restrict or object to processing, and to data portability. Contact Susie Copeland to exercise any of these rights.
How to complain
If you're unhappy with how we've handled your data, contact us first at the details above – we'll acknowledge your complaint within 30 days. You can also contact the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113 at any time.
